Set up and manage employee surveys
Assign recipients, configure the email and schedule, send a test, follow invitations, and read employee responses.
Before you start
- An administrator account with completed verification.
- A configured email provider for sending survey invitations.
- A valid survey email on each endpoint you intend to include.
Screenshots show the Rapport interface with example data. Use your organization’s devices and values. Select an image to view it at full size.
Open DEX Surveys and review the four tabs
Open Insights → Experience, then select Surveys in the experience navigation, or search for DEX Surveys. The page contains Overview, Send History, Settings, and Recipients. Select Refresh survey data to load the latest configuration and results.
Assign the survey recipient to an endpoint
Open Recipients. Enter a hostname or display name in Find a device, click Search devices, then choose Edit recipient for … beside the intended device.
| Field or control | What to do |
|---|---|
| Survey email | The address that receives invitations for this endpoint. Enter a valid work email; documentation examples use reserved addresses such as alex@example.test. |
| Recipient name (optional) | A display name for the person associated with the survey recipient. |
- Click Review recipient change, check the displayed device and new values, then click Confirm recipient change.
- To clear a recipient, choose Remove recipient for …, review the change, and use Confirm removal.
- Use Previous recipients and Next recipients to work through additional pages.
What you should see: The recipient row shows the saved address, and endpoint email coverage reflects configured recipients after refresh.
Configure the schedule and email
Open Settings and set the cadence and email content. These edits remain a draft until you select Save settings.
| Field or control | What to do |
|---|---|
| Enable scheduled surveys | Enables future scheduled invitations to endpoints with a configured survey email. Leave it off while preparing the content if you do not want scheduled sends yet. |
| Frequency (every N days) | Choose a preset or enter any cadence from 1 through 365 days. |
| Day of week / Hour (UTC) | Select the day and a whole UTC hour. Convert your intended local send time to UTC before saving. |
| Subject line | Required email subject, up to 120 characters. |
| Optional intro | Up to 1,000 characters shown above the survey’s emoji buttons. |
| Anonymize employee names in admin view | Hides names and email addresses in the admin presentation and its history export. This is a display setting; it does not change where invitations are sent. |
What you should see: After Save settings, the page confirms the save. Saving itself sends no email; an enabled schedule permits later invitations.
Send and check a test invitation
Save or discard any draft, then click Send test survey to my email. Open your inbox and follow the survey link to review the employee experience. Test invitations and test responses are excluded from the experience metrics.
- Provider acceptance confirms that the email provider accepted the request. Check your inbox to confirm delivery.
- If the request outcome is uncertain, inspect Send History and the provider record before sending again.
- The test button stays disabled while a draft is unsaved or a previous test is unconfirmed.
What you should see: You have reviewed the email and survey using the saved settings before relying on the employee schedule.
Review sends, responses, and resend eligibility
Open Send History. Filter by All statuses, Provider accepted, Opened, or Responded. Inspect the recipient, send time, recorded state, and response. Use Previous and Next to move through 50-row pages.
- For an eligible row, choose Review resend. Verify the original recipient and recorded state, then select Confirm resend to send the original link again.
- Pending or uncertain attempts cannot be resent from this flow. Investigate the recorded attempt first.
- Use Export this page to download the displayed history page as CSV. Repeat for additional pages if you need them.
What you should see: You can distinguish invitation acceptance, opening, and a recorded employee response.
Read the feedback and identify follow-up work
Return to Overview. Review Response rate · confirmed invitations, Avg sentiment, Endpoint email coverage, Sentiment trend (12 weeks), Q1 distribution, Friction areas, Major issues reported, and Recent comments.
- Use the expandable View … data controls beneath charts for the underlying values.
- Compare the number of returned invitations and responses with the coverage text before comparing periods.
- Use the reported friction area and comments to choose a device or support workflow to investigate.
Pause scheduled surveys
In Settings, turn off Enable scheduled surveys. Confirm Disable surveys in the dialog, then click Save settings. The dialog changes the draft; the save commits it.
What you should see: Future scheduled invitations stop after the setting is saved. Already sent invitations and collected responses remain.
If something doesn’t work
Controls are disabled
Select Refresh survey data if the data is older than five minutes, reconnect if offline, and verify you are an administrator in the selected organization. Save or discard a draft before using the test button.
No invitation arrives
Check the endpoint’s saved Survey email, the schedule’s UTC day and hour, and Send History. If the provider accepted it, check delivery in that provider and the recipient inbox. A saved survey configuration is not a send confirmation.
A save or send was not confirmed
Follow the on-screen instruction to refresh the recorded state. If a settings request may have reached the server, discard the draft and reload before another edit. For an uncertain email attempt, inspect history and the provider record before repeating it.
